Behind every refurbished iPhone, iPad, AirPods and MacBook we sell is a team that said “this one is ready.” We're looking for a Team Lead to lead that team (Grading & Outbound), and to help Swappie keep making buying refurbished electronics mainstream, one great decision at a time.
TEAM LEAD, Tallinn Operations
Grading is where every device that comes through our warehouse gets assessed and classified before it moves on to repair and resale, and in Outbound the finished devices are packed and dispatched onwards. The team works closely with Inbound and Repair teams to keep devices flowing smoothly through our refurbishing process. The work is fast-paced, detail-driven, and sits right at the heart of Swappie's operations.
In this role, you'll lead a team of Operations Associates by example. As a Team Lead, you'll supervise, onboard and coordinate your team to ensure high quality and productivity in output, shared standards, working processes and culture — and you'll be part of developing both your team members and the way they work.
You'll be responsible for the performance management and engagement of the team and every individual within it, leading with an impact-oriented, coaching and inclusive approach, and responding to all people-related matters.
WHAT YOU WILL WORK ON
Being the first point of contact for your team members’ questions, collaborating with the Department Lead, other Team Leads, Experts and HR Business Partner to find the best solutions.
Monitoring and implementing company OKRs. Creating, monitoring and prioritising individual and team targets, such as quality and accuracy. Carrying out root cause analysis with the team.
Ensuring incoming deliveries are received, checked and registered on time, and that outgoing orders are packed and dispatched within the agreed pickup times.
Innovating and implementing lean process changes.
Doing random sampling and reviewing rework reports to keep quality on target.
Monitoring working and break times, and using our systems for time tracking, attesting hours and reviewing leave applications. Making sure schedules are ready for payroll processing on time.
Conducting monthly 1-1s with each direct report to give and receive feedback and support their development. Leading the team’s performance review programme.
Contributing to hiring activities and onboarding new employees to become fully integrated, contributing members of the team.
WE WOULD LIKE TO HEAR FROM YOU IF YOU
Have experience leading both operations-related processes and leading & coaching people.
Have experience working in a multicultural team with strong cross-cultural awareness.
Have good verbal and written English.
Are comfortable with Microsoft Office / Google tools, especially Excel or Google Sheets
Have an analytical mind and the ability to make the right decisions in a short amount of time, backed by data.
Have strong problem-solving, time management and organisational skills.
Take ownership, see the bigger picture, and lead with impact rather than just activity.
Build trust easily, give and receive feedback well, and have a positive influence on the people around you.
Are able to do rotating shifts (precise times below)

Practicalities
📍 Location: Tallinn, Estonia (Saeveski area).
📅 Start date: As soon as possible, negotiable.
🕑 Working hours: Monday to Friday, weekly rotation morning-evening
Morning shift 06:00-14:00
Evening shift 14:00-22:00
📝 Contract: Full-time (40h/week), permanent.
💰 Salary: 2000 - 2300€ / month
🔎 Visa Requirements: Eligibility requires a valid full-time work permit in Estonia
