Key Responsibilities include:

  1. Financial management: 
    • Own the end-to-end financial management for the REFM function in India, from budget planning and forecasting to expense tracking and reporting.
    • Manage the complete invoice lifecycle for the region, ensuring timely processing, validation, and coordination with Accounts Payable (AP).
    • Conduct real-time variance analysis (Budget vs. Actuals) and lead the implementation of spend control measures.
    • Handle various administrative financial tasks, including managing Purchase Requests (PRs), tracking lease obligations, and providing quarterly/annual cash flow projections.
    • Contract Administration: Manage contracts and agreements for WPE services across the region including Lease, CAM, FM, Cafeteria, Security, M&E, AMC, Parking etc.
    • Global vs. Local Financial Reconciliation: Perform real-time reconciliations between centrally reported budgets, forecasts, and global spend data against locally booked expenses in AP systems. Partner closely with local Accounts Payable teams to proactively identify, investigate, and resolve reporting discrepancies.
    • Database and Records Management: Own and manage departmental records and databases and ensure team’s compliance to protocols.
  2. MIS, Data, and Contract Administration:
    • Own and manage all departmental records, databases, and Management Information Systems (MIS), ensuring data integrity and compliance with internal protocols.
    • Maintain and report on key financial and operational performance metrics for the department and its suppliers.
    • Administer all contracts and agreements for REFM services across the region, including Leases, CAM, IFM, Security, M&E, AMCs, and other vendor agreements.
  3. Backend Facility & Vendor Operations: 
    • Provide backend support for overall facility operations, ensuring all functions run smoothly and efficiently.
    • Act as the primary point of contact for our outsourced partners, including IFM providers, cafe aggregators, and travel/cab aggregators, for financial management, ledger reconciliation, operational oversight and contract administration to ensure seamless service delivery.
    • Support health and safety compliance and delivery across all workplaces according to statutory regulations.
    • Facilitate the implementation of industry’s best practices to continuously improve the standard of workplace services.
  4. Hospitality and Office Events Support:
    • Support execution of all workplace events in line with the activity calendar with consistent delivery across India ensuring high level of employee engagement.
    • Enable management of events for multiple offices. End to end, booking, planning, executing. 
  5. Audits, Compliance, and Governance: 
    • Ensure all facilities and services are fully compliant with statutory norms and client requirements (e.g., ISMS/PIMS).
    • Support all First, Second, and Third-Party Audits of our premises and drive the closure of all identified observations.
  6. Stakeholder Management and Communication:
    • Establish and maintain strong relationships with internal business leaders and external stakeholders, including landlords, property managers, and vendors.
    • Lead all departmental communications, including employee messaging, stakeholder updates, and team communications.
    • Work closely with HR and IT to support the new starter on-boarding and off-boarding processes, including asset coordination.

 

  • Eligibility Criteria:
    • Bachelors degree (full time) from recognized college.

    • Minimum 6 years of proven experience in corporate facilities management, with a strong focus on backend operations, financial management, and MIS.
    • Mandatory experience in FM industry in soft services for medium and large offices.
    • Proven experience managing relationships with internal stakeholders and external vendors, including outsourced service providers and various aggregators.
    • Expertise in MS Excel is a must, along with high level of proficiency in other MS Office tools like Outlook and Teams.
    • Strong team player with experience of collaborative work delivery.
    • Strong ownership, follow-up, and project coordination skills.
    • Excellent communication and interpersonal skills.
    • A proactive, detail-oriented, and solution-oriented mindset.
    • Experience in the technology, telecommunications, or professional services industry is a plus
