Receptionist (Medical)

 

We are looking for a dependable and customer-focused Front Desk Specialist to join our clinical team. This position plays a critical role in providing front-line service to patients and visitors, managing check-in and check-out procedures, and supporting administrative functions for smooth clinic operations 

RESPONSIBILITIES  

Patient Interaction & Communication 

  • Greet patients and visitors in a courteous and professional manner.
  • Answer and route incoming phone calls.
  • Confirm appointments for the next clinic day.
  • Answer front desk tasks and messages.
  • Assist in rescheduling appointments as needed.
  • Assist patients with signing up for the patient portal.
  • Ensure annual patient paperwork is completed and current.
  • Verify and update patient address, phone number, and insurance information at each visit.
  • Perform other duties as assigned by management.

Check-In, Check-Out & Scheduling 

  • Check patients in and out of the system.
  • Ensure all patients on the daily schedule are marked as checked out, no-showed, or canceled.
  • Schedule new and follow-up appointments.

Payments & Financial Reconciliation 

  • Collect and post patient payments accurately.
  • Reconcile money bags at the end of the day.

Administrative & Facility Support 

  • Unlock front doors, turn on room lights, and power on computers at the start of the day.
  • Scan and file patient documents into electronic charts

REQUIREMENTS 

  • High school diploma or equivalent.
  • No experience required; training will be provided.
  • Strong customer service skills and a professional demeanor.
  • Basic computer literacy and ability to learn new systems.
  • Excellent communication and organizational skills.
  • Ability to handle confidential information appropriately

PHYSICAL AND MENTAL REQUIREMENTS  

  • Ability to sit, stand, walk, bend, and reach throughout the workday.
  • Manual dexterity to operate a computer and office equipment.
  • Visual and auditory ability to interact with patients and staff.
  • Ability to remain focused in a busy front-desk environment.
  • Capacity to work under pressure and manage multiple tasks simultaneously.
  • Emotional resilience and a customer-oriented attitude
