Commercial Coordinator
$65,000 - $75,000 per year based on experience
We are seeking a high-detail, high-accountability professional who understands restoration and construction, is highly comfortable working on a computer, managing schedules, communicating with customers, and making decisions that keep jobs moving. This role is the central point of contact linking our field operations, insurance adjusters, and commercial clients, managing real-time scheduling, dispatching, and compliance to ensure that commercial property losses are mitigated and restored seamlessly.
Core Responsibilities

- Operational Logistics & Scheduling: Coordinate day-to-day operational activities, dispatching field crews, technicians, and specialized subcontractors to commercial loss sites.
- Central Communication Hub: Serve as the primary liaison between property managers, insurance adjusters, field supervisors, and internal directors.
- Job File & Documentation Compliance: Audit and manage data entry within industry-standard software (Xactimate, Symbility, etc.); track project timelines, work orders, photos, and moisture logs.
- Resource Optimization: Monitor specialized restoration equipment and active site inventories to support large-loss field operations.
- Compliance: Ensure all project files strictly conform to corporate policies, insurance program guidelines, and safety standards.
Required Experience & Skills
- Industry Experience: 3+ years of working knowledge in property restoration (mitigation or reconstruction) or commercial construction logistics.
- Fast-Paced Prioritization: Proven ability to effectively execute tasks and manage multiple high-stress emergency project files simultaneously.
- Communication & Tech Literacy: Exceptional written and verbal communication skills. Proficiency with CRM software.
- Detail-Oriented Administration: Elite organizational skills with a track record of meticulous document control and schedule adherence.
Preferred Qualifications
- Familiarity with industry-specific platforms like Xactimate or Symbility.
- Knowledge of regional commercial property sectors (multifamily housing, healthcare, hospitality, corporate offices).
