Position Summary
The Benefits Administrator is responsible for the day-to-day administration and operational support of Newmark’s employee benefit programs. This role has a strong focus on benefits data, invoicing, reconciliation, auditing, reporting, and maintaining the accuracy and integrity of benefits information across HRIS, payroll, carrier, and vendor systems.
The Benefits Administrator researches and resolves benefits issues, supports employees and HR stakeholders with benefit program questions, monitors eligibility and plan administration, and assists with leave and ADA-related benefits administration. The role also provides support for Open Enrollment, COBRA administration, benefits system maintenance, reporting, audits, and other benefits-related projects and process improvements.
Essential Duties and Responsibilities
• Reconciles and completes benefits invoices for all lines of coverage, including reviewing enrollment, eligibility, premiums, adjustments, credits, and billing discrepancies.
• Reviews and audits Oracle HCM reports and benefits-related data to identify discrepancies, errors, and areas requiring correction.
• Performs regular audits of benefits and payroll data, including payroll deductions, HSA contributions and funding, eligibility, enrollment, and terminations.
• Researches and resolves discrepancies between HRIS records, payroll deductions, benefit enrollment, carrier records, vendor files, and invoices.
• Assists with the administrative coordination and tracking of ADA accommodation-related benefits activities.
• Provides administrative support related to leave of absence processes and benefits-related leave activity.
• Provides support to the Benefits Coordinator with day-to-day benefits functions, including eligibility, enrollment, reporting, terminations, 401(k), life event processing, and benefits data cleanup, as needed.
• Serves as backup to the Benefits Coordinator during periods of absence and provides coverage for designated benefits responsibilities as needed.
• Responds to benefits inquiries through designated email inboxes and other communication channels, escalating complex or specialized matters as appropriate as needed.
• Maintains and monitors benefits data within Oracle HCM and other online benefits administration systems.
• Supports monitoring of plan eligibility and restrictions to help ensure administration is consistent with plan provisions and applicable federal and state requirements.
• Supports benefits system testing, implementation, configuration updates, and ongoing system maintenance.
• Analyzes benefits data and reports to identify trends, discrepancies, process gaps, and opportunities for improvement.
• Develops and maintains benefits reports, spreadsheets, reconciliations, and other analytical tools.
• Assists with annual Open Enrollment activities, including data review, system testing, employee support, communications, and post-enrollment audits.
• Provides operational support to HR Business Partners on benefits-related matters, as needed.
• Participates in benefits projects, implementations, audits, process improvements, and other operational initiatives, as assigned.
• Performs other duties and special projects as assigned.
Qualifications
• Bachelor’s degree preferred.
• 5+ years of experience in benefits administration or a related HR/benefits function.
• Strong analytical, problem-solving, organizational, and reconciliation skills.
• General knowledge of federal and state regulations applicable to employee benefits, including ERISA, HIPAA, COBRA, FMLA, and ADA.
• Strong proficiency in Microsoft Office, particularly Excel, with the ability to work with large data sets, reports, and reconciliations.
• Experience administering benefits through an online enrollment and benefits administration system.
• Experience with Oracle HCM or another HRIS preferred.
• Excellent written and verbal communication skills.
• Exceptional attention to detail and accuracy.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Ability to handle confidential employee and benefits information with discretion.
• Strong interpersonal and customer service skills when working with employees, vendors, carriers, HR Business Partners, Payroll, HRIS, and other stakeholders.
