General Position Summary
Program Reporting and Visibility Assistant: The Program Reporting and Visibility Assistant will be primarily responsible for managing the reporting and visibility aspects of the project. Based in Herat province, s/he will ensure timely submission of reports to donors and stakeholders. The role involves close collaboration with field teams and other departments to produce high-quality photos, success stories, and videos. S/he will also support reporting processes, including preparing success stories, managing information, and coordinating media content for Mercy Corps program.
Main Responsibilities
- Ensure timely submission of reports to head of programs and stakeholders, maintaining accuracy and compliance with Mercy Corps standards.
- Collect, organize, and manage program documentation, including success stories, photos, videos, and other visibility materials, ensuring confidentiality and accessibility for reporting and auditing purposes.
- Collaborate closely with field teams and other departments to produce high-quality visibility content that highlights program impact.
- Maintain and update internal trackers, calendars, and meeting documentation for the program team.
- Provide verbal and written translation support as necessary.
- Assist in organizing workshops, trainings, and meetings, including preparation of materials and logistical arrangements.
- Coordinate with program team to ensure smooth operations in logistics, administration, and HR functions in line with Mercy Corps policies.
- Support the program team in obtaining necessary signatures and approvals, and in documenting daily monitoring activities.
- Attend program meetings, record minutes, and share notes with the senior management team.
- Uphold Mercy Corps’ policies and procedures, conducting oneself professionally to safeguard the organization’s humanitarian mission.
- Perform other duties as assigned by the supervisor.
- Work with the program team to develop the required reports.
- Keep track and provide support to make sure that policies and country SoPs are applied and reflect that in the monthly reports,
- In coordination with the program team conduct field visits to document all the successful and humanitarian stories under the program and ensure the program folder on SharePoint is up to date with the program related documents. .
