Role Overview
We are looking for an organised, proactive and professional Executive Assistant to support the CEO and help keep day-to-day activities running smoothly.
The EA will be responsible for managing the CEO’s schedule, travel, meetings and day-to-day priorities, while ensuring that important tasks and follow-ups are handled efficiently. The role requires someone who is discreet, reliable, detail-oriented and comfortable working in a fast-paced environment.
The ideal candidate will be confident working with senior stakeholders, able to anticipate the CEO’s needs and manage multiple priorities with minimal supervision.
Key Responsibilities
Manage the CEO’s calendar, meetings and appointments.
Coordinate meetings, prepare agendas and take meeting notes and action points.
Follow up with relevant teams to ensure actions and deadlines are completed.
Arrange all business travel, including flights, hotels, visas and transfers.
Help manage the CEO’s daily priorities and ensure important matters are followed up.
Prepare and coordinate reports, updates, documents and presentations as required.
Draft and manage emails, letters and other correspondence on behalf of the CEO.
Manage the CEO’s expenses, petty cash and basic payments.
Carry out research and gather information for the CEO when required.
Coordinate the CEO’s attendance at meetings, events and conferences.
Build strong relationships across the business to quickly obtain information and updates.
Handle confidential and sensitive business information with a high level of discretion.
Support the CEO with ad-hoc projects and personal requests related to their role.
Be proactive in identifying what needs to be done and ensuring the CEO is well prepared for meetings, travel and key commitments.
Skills & Experience
3+ years' experience as an Executive Assistant, Personal Assistant or similar role supporting a senior executive.
Previous experience supporting a CEO or C-suite executive is preferred.
Strong proficiency in office, communication and digital tools, with the ability to quickly learn and adapt to new platforms.
Excellent organisation and time-management skills.
Strong written and verbal communication skills.
Excellent attention to detail.
Proficient in Microsoft Office, particularly Word, Excel and PowerPoint.
Able to manage multiple priorities in a fast-paced environment.
Proactive, resourceful and able to work with minimal supervision.
Professional and confident when dealing with senior executives and stakeholders.
Strong follow-up and problem-solving skills.
Able to handle confidential information with complete discretion.
Flexible to accommodate occasional evening and weekend requirements.
Experience in the media industry is an advantage.
