An exciting opportunity exists for a Weighbridge & Logistics Coordinator to join our team at Sancrox Quarry, located approximately 15 minutes west of Port Macquarie.
This role sits at the centre of our site's operations — coordinating our transport fleet, managing weighbridge and administration systems, and keeping our compliance and reporting on track.
We're looking for someone with a background in logistics or fleet coordination, business or compliance administration, and confident, everyday use of technology.
Reporting to the Quarry Manager, this permanent full-time position is suited to an organised, self-driven individual who takes initiative, thinks ahead, and is comfortable owning a broad and varied workload. The role involves early morning starts, working Monday to Friday, with occasional Saturday work as required by business needs.
This is primarily a weighbridge, logistics and administration role, with the opportunity to learn and operate the sales loader from time to time as you build your skills. Looking ahead, as the business rolls out newer technology there may also be opportunities to take on remote weighbridge responsibilities, so a willingness to adapt as our systems evolve will be valuable.
Key Responsibilities
In this role, you will:
Operate the weighbridge and process all outgoing load tickets accurately and efficiently
Plan and coordinate the daily allocation and scheduling of the Truck & Dog fleet, adjusting quickly as conditions change
Build and maintain strong working relationships with haulage contractors, transport providers and suppliers
Manage purchase orders, cartage adjustments, invoicing and reconciliation
Maintain compliance documentation and reporting, including WHS, environmental and quarrying regulatory requirements
Own site administration systems and digital records, including SAP (or similar) and Microsoft Office
Identify opportunities to improve site processes and reporting, and take the initiative to implement them
Deliver outstanding customer service to drivers, contractors, suppliers and internal stakeholders
Support sales and dispatch activities, including customer invoices, delivery dockets and supporting documentation
Learn to operate the sales loader over time, assisting with operational duties from time to time as trained and licensed
About You
To be successful in this role, you will have:
Experience in logistics, transport scheduling or fleet coordination, ideally allocating vehicles or resources against changing daily demand
Candidates without direct logistics experience are encouraged to apply, as full training and support will be provided.
A background in business administration, compliance administration or WHS/regulatory reporting
Strong, confident use of technology — comfortable with business systems such as SAP, MYOB, Xero or similar, and quick to pick up new digital tools and platforms
A self-driven approach, taking ownership of your work and looking for better ways to get things done
The confidence to coordinate other people's work, solve problems independently and think strategically about the bigger picture
Excellent customer service and communication skills, comfortable dealing with drivers, contractors and customers
Strong attention to detail and accuracy, particularly when processing documentation, invoices and compliance records
