Summary:
The Administrative Assistant provides part-time administrative and organizational support to leadership and project teams. This entry-level position assists with scheduling, travel coordination, document preparation, and basic project and contract tracking. Training will be provided, making this an excellent opportunity for a recent college graduate or individual with internship experience who is organized, detail-oriented, and eager to learn.
Responsibilities
Essential Job Functions:
- Maintain and manage leadership schedules, Bid & Proposal (B&P) schedules, travel coordination, and other project-related schedules.
- Provide administrative support for Government contracts, including tracking contract hours, burn rates, and costs compared to budget.
- Assist with document preparation, editing, formatting, and other administrative activities.
- Maintain organized records, files, and tracking documents.
- Assist with data entry, research, and other administrative tasks as needed.
- Support leadership and project teams with special assignments and other administrative needs.
- Perform other duties as assigned.
Qualifications
Necessary Skills and Knowledge:
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency with Microsoft Office applications.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Willingness to learn new systems, processes, and procedures.
Minimum Qualifications:
- High school diploma or equivalent.
Previous internship, administrative, office, or related experience preferred.
- Ability to pass a background check
Preferred Qualifications:
- Associate's or bachelor's degree in business administration, management, communications, or a related field.
Experience with scheduling, travel coordination, document preparation, or data tracking.
- Familiarity with Microsoft Excel, including basic formulas and spreadsheets.
