JOB PURPOSE

The Operations Officer (Documentation Sea Import/ Export) is responsible for preparing, verifying, and managing shipping documents for sea import and export shipments, ensuring compliance with carrier, customs, customer, and regulatory requirements. Coordinate with customers, carriers, overseas agents, and internal teams to ensure smooth

shipment processing and timely document submission.

CORE RESPONSIBILITIES

Export Documentation

  • Prepare and process export shipping documents, including:
    • Bill of Lading (MBL & HBL)
    • Shipping Instructions (SI) to carrier/agent
    • Verified Gross Mass (VGM) to carrier/agent
    • Forwarder Certificate of Receipt (FCR)
  • Submit Shipping Instructions (SI) and VGM to carriers within cut-off times.
  • Verify document accuracy and ensure compliance with customer and carrier requirements.
  • Coordinate with customers regarding shipping schedules and documentation requirements.
  • Follow up on draft B/L approval and final B/L release within KPI.

Import Documentation

  • Receive and review import documents from overseas agents and carriers.
  • Verify arrival notices and shipment details.
  • Coordinate customs clearance requirements with customers and brokers.
  • Monitor shipment arrival status and provide updates to customers.
  • Ensure timely submission of required import documentation.

Coordination & Customer Service

  • Liaise with shipping lines, freight forwarders, courier company and messengers.
  • Respond promptly to customer inquiries regarding shipment and documentation status.
  • Resolve documentation discrepancies and shipment-related issues.
  • Maintain accurate records and filing of shipment documents.

Compliance & Quality Control

  • Ensure compliance with customs regulations, carrier requirements, and company procedures.
  • Monitor document deadlines and carrier cut-off times.
  • Support KPI targets related to documentation accuracy and turnaround time.
  • Maintain confidentiality and proper document control.

QUALIFICATION

  • Bachelor's degree in Logistics, International Business, Business Administration, or related field.
  • Knowledge of shipping documents, Incoterms, customs procedures, and international trade.
  • Proficiency in Microsoft Office and logistics systems (e.g., CargoWise, INTTRA, carrier portals).
  • Good working attitude, good operational and communications skills, able to work under timing pressure.
  • Good interact and communicate effectively with internal teams and customers.
  • Strong attention to detail and organizational skills.
  • Analytical mindset to assess operational data and identify areas for improvement.
  • Problem-solving skills to address operational challenges effectively.
  • Dynamic individual with passion for logistics, operations with service mind.
  • Good command of English, both written and spoken.
