Position Summary

The Facilities Coordinator is a hands-on operational professional responsible for supporting the daily maintenance, safety, and functionality of assigned facilities. This role works alongside maintenance staff, contractors, and vendors while managing the Facilities Work Order/Ticketing System, conducting inspections, supporting preventative maintenance, coordinating space setups, and ensuring exceptional customer service. This is not a desk-only position; the successful candidate leads by example and actively participates in day-to-day facilities operations.

 

Core Responsibilities & Performance Expectations

Facilities Ticketing & Work Order Management

Responsibilities:

·         Receive, prioritize, assign, monitor, and close work orders.

·         Maintain accurate ticket documentation, notes, invoices, and photographs.

·         Provide timely updates to requestors.

·         Escalate critical issues when appropriate.

Performance Expectations:

·         95% of work orders completed within service standards.

·         New requests acknowledged within 1 business day.

·         98% documentation accuracy.

Hands-On Facilities Operations

Responsibilities:

·         Conduct daily building walkthroughs and inspections.

·         Work alongside maintenance staff during operational needs.

·         Assist with office moves, room setups, furniture reconfiguration, and minor operational projects.

·         Verify completed work before closing tickets.

Performance Expectations:

·         100% scheduled inspections completed.

·         High-priority work personally verified before closure.

·         Visible presence throughout assigned facilities.

Vendor & Contractor Coordination

Responsibilities:

·         Coordinate vendors, monitor work quality, ensure safety compliance and timely completion.

Performance Expectations:

·         95% vendor work completed on schedule.

Safety & Compliance

Responsibilities:

·         Serve as Deputy Fire Warden.

·         Support OSHA, fire safety, and emergency preparedness.

Performance Expectations:

·         100% participation in required drills and compliance activities.

Customer Service

Responsibilities:

·         Provide responsive service to internal stakeholders and maintain professional communication.

Performance Expectations:

·         90%+ positive internal customer satisfaction.

Qualifications

·         Associate degree or equivalent facilities, maintenance, office management, or property management experience.

·         Experience using a facilities ticketing/work order management system preferred.

·         Working knowledge of Microsoft Office; Oracle experience is a plus.

·         Strong customer service, communication, organization, and problem-solving skills.

·         Ability to perform hands-on operational work, including walking facilities, lifting up to 50 pounds, and assisting with building projects.
