Key Responsibilities:
- Manage the back-office work order process from field completion through closure and invoicing, ensuring work orders progress through the process accurately and in a timely manner.
- Partner with Operations and Accounting to ensure billable work orders contain the appropriate labor, travel, parts, expenses, service items, documentation, and approvals required for invoicing.
- Identify work orders that cannot progress through the billing process and coordinate with Field Service Coordinators, Area Managers, technicians, Procurement, Accounting, and other stakeholders to resolve outstanding issues.
- Prepare customer and asset-owner quotes, coordinate required internal and external approvals, and maintain appropriate documentation within the work order and CMMS.
- Communicate invoice and work order information to customers through email and customer billing portals, including submitting invoices and supporting documentation and tracking submissions when required.
- Serve as a key administrator and operational resource for the company's Computerized Maintenance Management System (CMMS) / Field Service Management System.
- Maintain CMMS data related to equipment, customer locations, service addresses, contracts, warranties, and other operational records.
- Coordinate the setup of new equipment and customer locations within the CMMS to support field service activities.
- Establish and maintain preventative maintenance parameters and assist with the generation of preventative and contractual maintenance work orders.
- Monitor work order and billing queues to identify aging work orders, missing information, system errors, or other conditions preventing timely completion and invoicing.
- Maintain data quality within the CMMS and assist Operations personnel with correcting work order, equipment, inventory, service, or billing-related system issues.
- Support continuous improvement of CMMS workflows, billing processes, reporting, and operational controls.
- Prepare weekly and monthly operational reports and performance metrics for leadership, including work order backlog, billing cycle performance, exceptions, and other key indicators.
- Assist with testing and implementation of new CMMS functionality, process improvements, integrations, and system updates.
- Perform other operational, reporting, and system-related responsibilities as assigned by the supervisor.
Requirements
Basic (Required) Qualifications:
- Strong organizational and prioritization skills
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Excel and CMMS systems
- Proven ability to collaborate across internal teams and with external stakeholders
- Keen attention to detail to ensure invoice accuracy and compliance
Preferred Qualifications:
- Bachelor’s Degree in relevant field (Business, Economics, Accounting, etc.)
- 2+ years experience in similar role (billing, operations, CMMS administration)
- Have knowledge and experience in Microsoft Business Central
- Analytical mind with desire to continuously improve processes
