POSITION SUMMARY:
The Administrative Assistant position for the Duquesne University Nasuti College of Osteopathic Medicine is a part-time, highly skilled paraprofessional position that supports the activities of the Assistant to the Dean and the Director of Business & Administration. This position reports to the Assistant to the Dean and the Director of Business & Administration.

DUTIES AND RESPONSIBILITIES:
Provide administrative support to the Assistant to the Dean and the Director of Business & Administration.

Assist with the daily operations and executive support functions of the Dean's Office.

Arrange travel, accommodations, and related logistics for the Dean and guests as needed.

Assist with planning and coordinating meetings, events, and special programs.

Support payroll processing activities, maintain timekeeping records, and track employee leave requests and approvals.

Coordinate and maintain the Dean's calendar, including scheduling meetings and managing appointments.

Process purchase orders, invoices, and other financial documents in accordance with University policies and procedures.

Prepare and route contracts and related documentation for review, approval, and signature.

Maintain accurate records and files while ensuring confidentiality and compliance with University requirements.

Work collaboratively with other departments throughout the College and on-campus.

Completes other duties as assigned.

REQUIREMENTS:

Minimum qualifications:


Associate's degree from an accredited educational institution required.

Minimum of five years of progressively responsible administrative, executive support, business office, or related experience; or an equivalent combination of education and experience.

Demonstrated proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and related productivity tools.

Ability to work independently, exercise sound judgment, and maintain strict confidentiality.
Strong organizational, communication, and customer-service skills, with exceptional attention to detail and accuracy.

Proven ability to manage multiple priorities, meet deadlines, and adapt to changing needs.

Experience working collaboratively with individuals at all levels of an organization.

Ability and willingness to learn and utilize University systems and technologies, including Banner, Emburse, and other enterprise applications.

Demonstrated professionalism, diplomacy, and interpersonal effectiveness.

Must be mobile and have the ability to lift up to 25 pounds.

Preferred qualifications:


Bachelor's degree from an accredited educational institution preferred.

Alternatively, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
