Office Services Assistant

Job Description Overview

Brookfield Asset Management is seeking a dependable and service-oriented Office Services Assistant to support day-to-day operations in its Toronto office. This role is integral to deliver consistent, high-quality workplace experience in a fast-paced, client-facing environment. This unique role will support between all areas within the Office Services department.

The successful candidate will provide flexible support across mail services, reception & conference services, and facility operations, ensuring seamless coverage and a professional standard of service across multiple floors.

Key Responsibilities

Mail Services

Complete scheduled daily mail runs, including pick up and drop off all mail and courier packages

Support daily mail operations, including processing and tracking of outgoing courier requests (e.g., FedEx, Purolator), and inbounding internal deliveries

Maintain office supply inventory and coordinate timely restocking with vendors

Process printing and binding requests

Coordinate regular updates to office bulletin boards and display materials

Facility Operations

Performs minor maintenance, troubleshooting, and repair tasks on workplace equipment and amenities to support day-to-day operations. Duties may involve handling equipment, replacing components, moving light materials, and using basic tools.

Liaise with building management (Brookfield Properties) and external vendors to address maintenance and service requests

Assist with onboarding logistics, including workspace setup and access coordination

Coordinate with cleaning, catering, and office services providers to ensure service quality and consistency

Support adherence to health and safety standards and emergency procedures

Reception & Conference Services

Provide professional front desk coverage, including greeting clients and visitors and managing guest registration

Coordinate visitor access in accordance with building security protocols and internal procedures

Answer and direct incoming calls with a high level of professionalism and discretion

Manage meeting room bookings and coordinate catering requirements

Ensure pantry and common areas are consistently clean, organized, and well-maintained

Assist with event coordination and execution

Flexible Coverage

Provide coverage across multiple floors and teams based on business needs

Provide ad hoc administrative support

Adapt to shifting priorities while maintaining a high standard of service

Qualifications Required

2–5 years of experience in mail, reception, or facilities support within a corporate environment

Strong communication and interpersonal skills with a professional, client-facing approach

Highly organized with the ability to manage multiple priorities in a fast-paced setting

Proficiency in Microsoft Office Suite (Outlook, Word, and Excel) is required.

Demonstrated ability to handle sensitive information with discretion

Post-secondary education required

Preferred

Experience in financial services or a professional services environment

Familiarity with visitor management systems and building access protocols

Experience supporting large, multi-floor office environments

Salary Range: CAD $50,000 - $60,000
